Have a single see through sealable plastic folder for the whole party. Put all passports, boarding passes, GHICS, insurance details, hotel and transfer details in it and give it to the most responsible in the group. They can hand them out when needed.
Pack your critical essentials (passport, keys , bank cards and/or medication) in your selected hand luggage early, to ensure you don't forget them or create a list of essentials in your mobile phone.
